How to delete your Allen Wrench account and what happens to your data

Your Right to Data Deletion

You have the right to request deletion of your Allen Wrench account and all associated data at any time. This page explains what gets deleted, what we are legally required to retain, how third-party services handle your data, and how to submit a deletion request.

What Gets Deleted

When you delete your account, the following data is permanently removed from our systems within 30 days:

  • Shop profile: Your shop name, settings, workflow configuration, and Twilio phone number assignment
  • Customer records: All customer names, phone numbers, email addresses, and contact information
  • Vehicle data: Year, make, model, VIN, and mileage records for all customer vehicles
  • Service records: Invoice data and line items synced from QuickBooks
  • Declined service records: Estimate data and follow-up status tracking
  • Message history: All SMS messages, including content, timestamps, delivery status, and approval records
  • QuickBooks connection: OAuth tokens are revoked and deleted immediately upon account deletion

Information We Retain

For legal and compliance purposes, we may retain the following after account deletion:

  • Anonymized transaction records: Subscription payment history may be retained for up to 7 years for tax and accounting compliance. These records are anonymized and cannot be linked back to your account.
  • Security and audit logs: Server logs related to authentication events and system access may be retained for up to 1 year for security purposes.

Third-Party Data Retention

Deleting your Allen Wrench account removes data from our systems, but third-party services retain data according to their own policies:

  • Stripe: Payment history and billing records are retained by Stripe per their privacy policy. Contact Stripe directly to request deletion of your payment data.
  • Twilio: SMS message logs may be retained by Twilio per their privacy policy.
  • QuickBooks: Your QuickBooks data remains in your own QuickBooks account. We only read data from QuickBooks and do not modify or delete anything in your QuickBooks account. Disconnecting Allen Wrench does not affect your QuickBooks data.
  • Kinde: Authentication records are retained by Kinde per their privacy policy.

How to Delete Your Account

Option 1: Through Your Account Settings

  1. Log in to your Allen Wrench account
  2. Navigate to Settings
  3. Scroll to the "Danger Zone" section at the bottom
  4. Click "Delete Account"
  5. Confirm your decision

Your account will be deactivated immediately. You have 30 days to reactivate by logging in. After 30 days, all data is permanently deleted.

Option 2: Email Us

If you cannot access your account, you can request deletion by email:

Subject: Account Deletion Request

Include:

  • Your full name
  • Email address associated with your Allen Wrench account
  • Your shop name
  • Confirmation that you want to permanently delete your account and all associated data

We will verify your identity and process your request within 5-7 business days.

Deletion Timeline

  • Immediate: Account is deactivated and QuickBooks tokens are revoked. No further messages will be sent.
  • 30-day grace period: You can reactivate your account by logging in during this period. All data remains intact.
  • After 30 days: All data listed above is permanently deleted. This action cannot be undone.

Important Notes

  • Cancel your subscription first. Cancel your subscription before deleting your account to avoid charges during the grace period.
  • Disconnect QuickBooks. While we revoke tokens automatically, you may also want to disconnect Allen Wrench from within your QuickBooks account under Apps > My Apps.
  • Export your data. If you need a copy of your customer records or message history, request a data export before deleting your account.
  • Deletion is permanent. After the 30-day grace period, your data cannot be recovered.
